Based on approximately 50 daily enquiries at around one minute each, the automation recovers an estimated two hours per day previously spent on manual replies. Time now available for higher-value work, including following up with pre-qualified leads. No vendor dependency, no additional licence cost, and no reliance on systems the team cannot see or control.

A standard digital inquiry process relies on form-to-email reliability. However, due to increasingly strict security and anti-spam protocols enforced by major email clients — specifically Google's Gmail network — standard webhook-driven email responses from external platforms like Jotform frequently fail to reach users' inboxes.

For this business, where over 80% of incoming leads originated from Gmail addresses, these silent drops created a massive operational bottleneck. Prospective users were completing applications but receiving zero confirmation, stalling the onboarding journey and causing immediate drops in lead engagement. Because the native platform lacked the backend capabilities to handle modern security filters, a custom programmatic workaround was required.

To solve this without changing the user-facing forms, a custom serverless automation was engineered using enterprise cloud workflows. Rather than allowing the native form platform to attempt direct delivery to Gmail users, a backend listener was deployed to instantly intercept every incoming submission payload. The automation parses the user data and reroutes the response through a dedicated, securely authenticated mail delivery pipeline — completely circumventing the delivery blockages that standard form providers struggle to manage.

The implementation transformed an unreliable entry point into a completely optimised lead pipeline. 80% of previously dropped leads were instantly recovered. Automated form confirmations now achieve a 100% successful delivery rate, and the manual overhead of tracking down missing applications was eliminated entirely, freeing the business to scale inbound volume with confidence.
